In this episode of the Profitable Practice Podcast, I discuss the nuts and bolts of negotiating a contract with a clinic owner. I have experience on both sides of the table here, so thought I'd share my views on what makes a great win-win contract.
Learn What The Key Parts You Should Be Paying Attention To When Negotiating Your Contract
One of the reasons I decided to publish this episode NOW, is because a lot of new graduates are facing this challenge, now that licensing exams are done and they are looking for paid work opportunities.
So, if you want to learn what to expect, industry standards, and how I would approach negotiation time, you’re going to want to listen to my answer in this episode:
In This Episode:
- [3:36] There are no perfect contracts. What you are aiming for is a win-win – and that takes clarity and transparency.
- [6:46] File Ownership.
- [8:35] Rent… including common industry arrangements and a tip for getting a better deal at re-negotiation time.
- [13:45] Administrative Fees: POS charges & Reception Services.
- [15:25] Supplements and Lab Testing Splits: How I Do It
- [21:27] Tip on making sure you’re both at the table in good faith
- [22:30] Handling Direct Billing – do it yourself, and in-visit with the patient.
- [24:40] Last words here...
After you’ve listened to the episode, I would love to hear your thoughts:
- What experience have you had negotiating contracts?
- Do you have an additional topic that you feel is also important to cover?
One of the best parts of any episode is getting to discuss it with you. Everyone gets to learn so much from sharing their thoughts. So wherever you like to debate ideas and share, leave me a comment/question.
As always, thank you for listening and learning with me on the podcast this week. Your commitment to learning the business aspect of your practice matters... Not only to you, but to your future patients and the practitioners who want to be working with you. You were meant to build something great, so let’s get to work.

Why NOT to Barter Your Services With Colleagues [PPP #112]
Friday Sep 06, 2019
Friday Sep 06, 2019
In this episode of the Profitable Practice Podcast, I discuss my experience of getting burned by a service trading arrangement with another practitioner. Since then, I believe to barter your services with colleagues as a healthcare professional is bad business.
Bartering services with colleagues is bad business, in my experience.
One of the reasons I create this podcast, is that I wish someone could have pulled me aside when I was just getting started in practice and guided me through some common mistakes.
In this episode, I answer a question asked by a MAXIMize Your Clinic student in our private Facebook group:
Hi Andrea, I have a question about exchanging services vs. getting paid. I met a physiotherapist who would like to see me for nutrition and I would like to see her for help to rehab my shoulder and I gave her the option of charging for services or doing an exchange. She is willing to do either and I am weighing the options. I am not sure how to arrange an exchange to make it equal (for example if it takes me 4 hours to work on a protocol for her vs one session with her is 30-45 minutes. Thanks in advance!
So, if her question resonates with you at all, you're going to want to listen to my answer in this episode:
[spp-player]
In This Episode:
- [0:45] Start/Introduce topic
- [1:31] What a time exchange proposal typically looks like... and why it's not in anyone's best interest.
- [2:32] Learn from Andrea’s experience trading services with a colleague that left her with a large and unexpected bill.
- [3:58] What about exchanging your time for referrals?
- [6:46] What about when it’s an exchange of time over coffee to “build your network”?
After you’ve listened to the episode, I would love to hear your thoughts:
- What experience have you had bartering services with a colleague?
- Do you have a personal policy that differs from the one I came up with?
One of the best parts of any episode is getting to discuss the topic with you. Everyone gets to learn so much from sharing.
Thank you for listening and learning with me on the podcast again this week. Your commitment to learning the business aspect of your practice matters... Not only to you, but to your future patients and practitioners who want to be working with you. You were meant to build something great, so let's get to work.

The Basics of a New Patient Welcome Process [PPP #111]
Thursday Aug 29, 2019
Thursday Aug 29, 2019
In this episode of the Profitable Practice Podcast, I discuss the elements of a basic onboarding process for your new patients. Having a clear, well thought out process for welcoming new patients to your practice is KEY to making a good first impression and building trust with your new patient. :)
How you welcome new patients into your practice can make it easy for him/her to become a life-long patient or break your relationship and send them looking for someone else.
There are 4 parts to the process of welcoming a new patient into your practice:
- The Pre-visit Experience
- The Reception Experience
- The Visit Experience
- The Post-visit Experience
Each part has it's own challenges and in this episode I share the best business savvy practices I've come across that leave patients, staff, and YOU feeling happy and positive about your new therapeutic relationship.
[spp-player]
In this episode:
- [0:00] Successful onboarding and the importance of setting a good first impression.
- [4:02] The Pre-visit Experience - everything that happens before they show up in your office.
- [10:15] The Reception Experience - this is where your first impression really takes root - get it right and get a patient for life!
- [12:55] The First Visit Experience - yes, there is a way to run this that allows you to build your business smoothly
- [17:28] The Post-visit Experience - learning to follow up will make all the difference with patient retention.
After you’ve listened to the episode, I'd love to hear what you do!
Do you use any of these strategies on your new patient welcome process? Which new one will you implement? Do you have another good idea to share? I’d love to read your thoughts here.
The best part of this podcasting thing is getting to discuss the topic with YOU after the show. One thing I love about the interwebs is scrolling and reading all the ideas and questions people share. You never know when a comment you leave online will be THE thing that helps another along. So, please leave a comment below and let us know you’re here!

In this episode of the Profitable Practice Podcast, I discuss the 4 key marketing strategies you should have in place before you even see your first patient. Think about it like your marketing start-up checklist. :)
If you want to be busy with patient visits during the first weeks of your new practice, you need some basic marketing systems up and running.
The 4 items I discuss in today's episode are MUSTS to implement, no matter whether you are still a student, a new grad shopping for a clinic, or an associate already in practice.
Ideally you would have these marketing strategies in place before you see your first patient. They are listed below in the notes, but tune in for the best WAY to implement them.
In this episode:
- [2:20] Item #1: An online scheduling tool
- [7:12] Item #2: Pick 1-2 Social media platforms where you are active. Ideally FB + 1 other
- [9:07] Item #3: Create key/custom audiences on those platforms.
- [12:03] Item #4: Email/CRM Software
- [14:40] But, what about a websites?! Press pause on this… just make a simple landing page

Friday Aug 16, 2019
In this episode of the Profitable Practice Podcast, I discuss how trying to “specialize” or “niche” your practice right out of the gates is the WRONG strategy if you are a new grad wondering what to focus on to grow your practice. I also share what I recommend focussing on instead. 🙂
Specializing or niching yourself in the first 3 years of practice as a new grad is just bad business.
This is the first in a series of podcasts on preparing yourself and your practice to take full advantage of the busy season in our industry. (Yes, the Fall and leading up to Christmas is our primary sales cycle!) When you read/listen to advice from successful clinicians and business owners alike, the first thing they will tell you is how much better their business was since they “niched” it. This may lead a new grad to think “I will have to niche myself and do the same to be successful faster.” and promptly start trying to figure out their ideal patient/specialty.
For a new grad, this strategy is a usually big fat time and money wasting mistake!
If your reaction to the idea of niching is “… but I want to/am trained to help everybody!” you are not alone. As a new grad, I believe this is actually the RIGHT reaction to have.
Don’t get me wrong: discovering your ideal patient niche is a valuable exercise, and I recommend you do it. But there is a right and a wrong way to go about it. Trying to niche yourself too early can be a major distraction in the early years of practice and can actually turn those ideal patients away if not executed properly.
So what IS the only thing a new grad should focus on to grow your practice in years 1-3?
Tune in to find out!
In this episode:
- [2:22] Why niching is the WRONG strategy for growing your practice as a newly graduated practitioner.
- [4:15] What you should be focussed on instead.
- [5:15] The inside scoop on those who support niching your practice – do you really have enough expertise to specialize and niche yourself.
- [6:25] School trains you to be a great practitioner, not a great business owner. You need time to learn this aspect of your career.
- [8:24] What my process of learning the business side of practice has looked like.
- [9:14] There are different ways to find your niche – but they all have one thing in common.
After you’ve listened to the episode, I’d love to hear from you!
What do you think of this strategy? Are you a new grad looking for what to focus on to grow your practice, or have you been in business a while? Have you struggled to niche your practice too early? What happened? Either way, I’d love to read what you have to say on this topic.
The best part of this podcasting thing is getting to discuss the topics with YOU after the show both here and on social media. When I learn something new, I love scrolling and reading all the ideas and questions people share. You never know when a comment you leave online will be the thing that helps another along. Streamlined Clinic Reception Operations: A Practitioner's Guide [PPP #108]
Thursday Aug 08, 2019
Thursday Aug 08, 2019
In this episode of the Profitable Practice Podcast, I share how I streamlined our clinic reception operations to the point that there is a seamless transition between myself and my admin staff. I share our 4 essential front desk processes and my leadership approach that keeps things on track as efficiently as possible.
A streamlined clinic reception operations experience eliminates headaches, mistakes, and wasted time for you, your staff, and your patients.
In discussing all the ways you can step out of your comfort zone and grow your practice last month, a student brought to my attention that they didn't feel they had the "bandwidth" to take on anything new. During our free 30 min strategy call, she confided she spends 12+ hours per day working in her practice and it's burning her out. The first thing we discovered was her front desk processes were taking up waaaay too much of her time. So, I shared with her my streamlined clinic reception operations processes and then we brainstormed is how we could make it work for her clinic. This would allow her to find some time (and life-balance). Together we took a good look at her reception/admin operations and hashed out a plan of action.
My 4 Key Communications Processes and Leadership Style For A Streamlined Clinic Reception Desk
Imagine having a front desk that can transition seamlessly back and forth between you, your practitioners, your administrative assistant, and/or your receptionist on a moment's notice. This has been such a game-changer for my practice because emergencies happen and everyone needs the odd day off and a vacation. You have to be able to manage your front desk, but you don't have to be the one behind the counter all the time either. When a patient is standing in front of you needing something, it will feel so great when you can just pass it to your admin assistant and know that he/she will be completely taken care of.
The 4 processes I discuss here are easy to implement, no matter whether you are an associate or a clinic owner. Heads up - I also share a bonus processes that will make things run even smoother once you have the first 4 in place! Tune in to learn how to streamline your clinic reception operations today.
In this episode:
- [2:15] Why you must hire a receptionist before you are "ready".
- [6:18] The first 3 months with your new receptionist.
- [ 8:17-12:40] My top 3 administrative processes that make reception operations run seamlessly.
- [12:40 – 15:37] The leadership approach that makes this work.
- [15:38 – 20:20] Bonus Process #1: The best way to handle problems, suggestions and ideas.
- [20:20 – 22:02] Bonus Process #2: How to eliminate communication breakdown when patients are checking out.
After you’ve listened to the episode, I want to hear from you!
Is your front desk a pain in your neck? Which process will you implement today? Or... maybe you've created a different system that you love? Either way, we'd love to read what you have to say on this topic.

Stepping WAAAY Outside My Comfort Zone as a Wellness Practitioner: PPP104
Monday Jul 15, 2019
Monday Jul 15, 2019
We see our patients do it with us all the time with us in our offices. In this episode, I share my very *eye-opening* experience of being WAAAAY outside my comfort zone. Because stepping outside your comfort zone as a health and wellness pro is different than in other businesses. Now, we explore how far your have to stretch as a business owner and practitioner to grow your practice.
Peek Behind The Curtain of My Biz – My Very Real Experience of Stepping WAAAY Outside of My Comfort Zone
Your comfort zone: the boundaries within which you feel things are “humming along nice and steady” in your practice. It sounds great at first… but beware!
It’s a trap. It’s a comfortable trap, but it’s still a trap.
The harsh truth of business (and biology) is that if you are not growing, you’re slowly dying. Stepping outside your comfort zone as in business means embracing the creative chaos, trying something new, being willing to mess up… It means feeling kinda uncomfortable.
In time, you learn to chase the feeling of being stretched beyond what’s comfortable.
In this episode:
- [3:56] The biggest investment I’ve ever made in my business.
- [5:13] … and how to know when it’s time to hire help and build a team.
- [8:06] The scariest thing I’ve done to date in my business. PLUS the changes I’m making in how to run things to embrace this next stage of growth.
- [9:58] #HotMess – What the truth of being outside of your comfort zone looks like.
After you’ve listened to the episode, I would love to hear from you!
